3. How we use personal data
We use personal data to:
- create and manage your account and authenticate you;
- store, process, and transform uploaded launch assets;
- generate image variants, previews, launch profiles, and downloadable launch packs;
- display your plan status, launch history, and creator profile;
- process payments, maintain billing records, and open billing-management sessions;
- operate launch directories, weekly rankings, and community vote features;
- measure product usage, improve features, fix bugs, and understand performance;
- respond to support requests and product feedback;
- detect abuse, secure the Service, enforce our Terms, and comply with legal obligations.
4. Lawful bases
We typically rely on one or more of the following lawful bases under the UK GDPR:
- Contract: where processing is necessary to provide ShipItOnce features you request, such as account access, billing, launch generation, and launch-pack delivery;
- Legitimate interests: where processing is reasonably necessary to run, improve, secure, support, and defend the Service, provided those interests are not overridden by your rights and interests;
- Legal obligation: where we need to keep records, respond to lawful requests, prevent fraud, or satisfy tax, accounting, or regulatory duties;
- Consent: where consent is required by law for a specific activity.
5. Public launches and votes
Some ShipItOnce features are public by design. When a launch appears in public discovery surfaces, we may display data such as your product name, tagline, description, website link, icon, screenshots, publication time, and vote score.
We also store voting activity tied to account identifiers to operate ranking and anti-abuse controls. If you want a public entry reviewed or removed, contact support@swiftbee.co.uk.
7. International transfers
Some of our service providers may process personal data outside the UK. Where that happens, we aim to use appropriate safeguards recognised under data protection law, such as adequacy regulations, standard contractual clauses, or equivalent transfer protections offered by the relevant provider.
8. Retention
We keep personal data for as long as necessary for the purposes described in this Policy, including to provide the Service, keep records, resolve disputes, maintain security, and comply with legal obligations.
- account and profile data are generally kept while your account remains active and for a reasonable period afterwards;
- launch assets and generated materials may be retained while they are available through your account, public rankings, backups, or audit logs;
- billing records may be retained for longer where required for tax, accounting, fraud prevention, or regulatory reasons;
- support and feedback submissions may be retained for service improvement, support history, and legal defence.
9. Your rights
Depending on your location and the circumstances, you may have the right to:
- request access to your personal data;
- request correction of inaccurate or incomplete data;
- request deletion of certain data;
- object to or restrict certain processing;
- request portability of data you provided to us where legally applicable;
- withdraw consent where we rely on consent.
To exercise a right, email support@swiftbee.co.uk. We may ask for information needed to verify your identity before acting on a request.
11. Security
We use a combination of technical and organisational measures designed to protect personal data. No system is perfectly secure, and we cannot guarantee absolute security, but we work to reduce risk and limit access to data to those who need it.
12. Contact and complaints
Contact us at support@swiftbee.co.uk if you have questions about this Policy or how ShipItOnce handles personal data.
If you are in the UK and remain unhappy after contacting us, you can complain to the Information Commissioner's Office (ICO). Information about the ICO is available at ico.org.uk.
